Privacy Protection Notice

WMV has always been committed to protecting the privacy of all member personal information that we collect and maintain in the course of carrying on the business of our organization. We are pleased to provide you with our Privacy Protection Notice, which describes how we collect, hold, use, and when needed, disclose your personal information when we do business with you. Please read this notice as it is required by the Personal Information Protection and Electronic Documents Act (Canada) and similar provincial privacy legislation and contact us through one of the means listed at the end of this notice if you have any questions.

1. Member Data and Personal Information:

The personal information collected about our members for the purposes identified in this Privacy Protection Notice is maintained in various physical and electronic files, collectively referred to as “Member Data”. The personal information included as Member Data may include your name, address and telephone number, business name, address and telephone number. Depending on services requested by our members, additional personal information may be included in your Member Data.

2. Providing Your Information to WMV:

Members provide us with personal information through one of our representatives. WMV collects this Member Data and uses it as needed to deliver our services to members, and when needed, discloses it only for the purposes identified in this Privacy Protection Notice.

3. Collecting, Holding, Using and Disclosing Information:

WMV may collect, hold and use the personal information in your Member record as well as collect personal information from and disclose personal information to the third parties identified below for the following purposes:
A. identifying you and ensuring the accuracy of Member Data;
B. establishing and administration of your account, determining, maintaining and recording information and transaction information;
C. protecting our Members, WMV, and our various service suppliers and/or sponsors against error and fraud;
D. meeting the legal and regulatory requirements of various statutes including Provincial and Federal legislation; and
E. verifying information previously given by our Members with any other organization when necessary for the purposes provided in this Privacy Protection Notice.

WMV may collect your personal information for the purposes identified in this Privacy Protection Notice from third parties to maintain services to our Members; and from any other third party who you authorize to disclose this information. WMV may disclose your personal information for the purposes identified in this Privacy Protection Notice to other companies in the WMV organization, such as Canada Post and courier companies.

When WMV transfers personal information for its Member services we ensure that the transferred personal information is used only for the purposes for which the Member services is retained. If you wish to withdraw consent to the continuation of this information sharing or discuss the implications of such withdrawal, please contact us through one of the means listed at the end of this notice. In some circumstances, legal requirements may prevent you from withholding consent. Your decision to withhold consent may limit our ability to deal with you and may also limit the products and services that we provide you because the collection of information and the disclosure to certain third parties is a necessary part of making the member service available to you.

Personal information of Members of WMV will not be shared with sales representatives of any other company without your consent.

4. Representatives Who Have Access to Your Data:

WMV and its representatives may have access to your Member Data provided they have a specific need to know in connection with the purposes identified in this Privacy Protection Notice and access is permitted only to the extent necessary for such purposes.

5. Location of Your Member Data:

Your member records, in electronic or paper format are kept with the various Directors of WMV. Paper records forming part of your member data may also be kept in secure offsite storage if required. Your member data may be transferred to other locations for disaster recovery purposes. Member data in paper form that is no longer required is destroyed.

6. Right to Access and Rectify Personal Information:

Except in limited circumstances prescribed by the Protection of Personal Information and Electronic Documents Act (Canada) and similar provincial privacy protection legislation, you are entitled to access, through a written request, the personal information contained in your member application and records.
